How it works
This pay stub generator creates professional earnings statements instantly in your browser — built for small business owners, household employers, and self-employed people who need to document real payroll. Enter the employer and employee details, choose hourly or salary pay, and the tool calculates gross pay, employee-side FICA taxes, and net pay automatically. All data stays in your browser; nothing is sent to any server. What goes on a pay stub: - Gross pay: Total earnings before any deductions — hourly rate x hours (plus overtime at 1.5x) or the per-period share of an annual salary. - Social Security (6.2%) and Medicare (1.45%): The employee share of FICA, withheld from every paycheck. Social Security applies up to the annual wage base; an additional 0.9% Medicare tax applies to high earners. - Federal and state withholding: Income tax withheld based on the employee's W-4. This tool takes the amounts as inputs — use IRS Publication 15-T or your payroll software to determine the correct figures. - Net pay: What actually lands in the employee's bank account after all deductions. The YTD column multiplies current-period amounts by the number of pay periods so far this year (auto-estimated from the pay date, or set it manually). If pay varied during the year, adjust the period number or treat YTD figures as approximate. Note: withholding amounts here are estimates for record-keeping, not tax advice. This tool is for documenting genuine compensation — pay stubs used for income verification must reflect real payroll.
The formula
Why it matters for your business
If you employ anyone — even one part-time employee or a household worker — most states require you to provide a pay statement each pay period, and clean payroll records are the first thing lenders, auditors, and workers' comp carriers ask for. For the self-employed, pay stubs from your own business create the paper trail that makes mortgage and lease applications dramatically smoother. Sloppy or missing payroll documentation is one of the most common findings in small business audits.
Pro tip
Run payroll on a consistent schedule and keep every stub — the IRS requires employers to retain payroll records for at least 4 years. If you're paying yourself from an S-corp, pay stubs documenting "reasonable compensation" are your best defense in an audit. In James FP&A, payroll from QuickBooks and Gusto syncs automatically so headcount costs flow straight into your forecasts.
